Planning your child’s next birthday party should be a fun experience, especially when you’re hosting the big day at Gymtime. Use these party planning tips to ensure a seamless, organized and fun day that everyone is able to enjoy!

  • Book Your Party – Parties tend to book up quickly! Be sure to reserve your date at least three months in advance.
  • Pick the Activities – Discuss what type of activities your child would like to do at their party. At Gymtime, we offer gymnastics, sports (soccer, basketball, hockey and lacrosse) and tae kwon do parties.
  • Add-Ons – Want more? Add-on options are available! DJ, airbrushing and cupcake decorating are all add-on options that will make the party extra special.
  • Identify a Theme – Let your child choose the theme of the party. At Gymtime, we offer a variety of themes from princess parties to rock star celebrations! We can work together to pick a theme that best suits your child! Gymtime provides paper goods in the theme of your choice, as well as Gymtime balloons. Feel free to add-on to the party decor with extra balloons and decorations matching the theme.
  • Guest List – If you start with an organized guest list from the beginning, it will make you’re life easier throughout the process. Make a list of your friends and family and identify who will be put on the invite list. It is a good idea to only keep and update ONE LIST! When you start keeping notes on various pieces of paper or in random messages on your phone it’s easy to lose track. The last thing you want is to wind up short of a party favor.
  • Prepare and Send Invitations – We recommend sending invitations out 2 months prior to the party date. Manage your RSVP’s on your original guest list making sure nothing slips below the cracks.
  • Order Cake – There are tons of bakeries scattered around the UES that make beautiful and delicious cakes!
  • Plan for Adults – Bring some adult-friendly snacks for the parents and care-givers to enjoy while they are at the party, too! Remember to bring the necessary paper goods for the adults, Gymtime provides paper goods for the children only.
  • Follow-Up – Call or email guests who have not sent in their RSVP two weeks prior to the party to see if they plan to attend. This way, you will have a more accurate number come party-day! Gymtime requires the full list of RSVP’s 10 days before the date of the party.
  • Take Photos – You will want to remember this special day. If you’re busy entertaining, assign a relative or close friend to document your child’s big day!
  • Thank You Notes – Include the birthday child in the process of writing thank you notes. If they are old enough, the note should come from them. If they are not writing yet, have them include a drawing on the card.
